Contact list filter (for Aggregate Reports)

Setting up contact list variable allows you and your customers to download Aggregate Reports with responses data from the contacts included in the contact list.

Distribution Portal
The Distribution Portal is a feature included in the DistributR Plan. It allows for seamless assessment and report distribution by utilizing three different access levels: the admin zone, the customer zone, and the contact zone.

Predefined contact list filter is only available for Aggregate Reports, namely individual vs. group reports, and group reports.




In this guide, you will learn the following topics:

  1. Set up predefined filters for contact list

1. Set up predefined filters for contact list


1.1 Go to the Report Builder of your group report or individual vs. group report.


1.2 In the Share tab of the Report Builder, go to predefined Filters.



1.2 Create a new predefined filter and select the following from the dropdown options as the filter type: 

  • Contact
  • List
  • is equal to
  • The last one (marked in the screenshot below): You can select the contact list from the dropdown, or simple enable the option (the toggle) to let the user define this when they download the Aggregate Reports.


2. Download Aggregate Reports as admin


Once the predefined filter for contact list is enabled, go the the Results tab of the questionnaire that is linked to the report. 


On the top right corner, click the Download button.



Select the Individual vs Group report, or the Group report you want to download. In the filter section:

  • Select Contact list as the filter (This is what you created earlier as a predefined filter)
  • Since we enabled the toggle to let user decide the list, now you can select a contact list from the dropdown options.


There you go! You can now download the report that aggregate the response data from this specific contact list.



3. Download Aggregate Reports as customer


Your customers can also download the Aggregate Reports using a contact list filter in the Customer Zone.


Go to Responses and select the reports for download -> Select the contact list as the filter -> Download.



What is next?

  • When you've collected your results and you want to download them, there are different download options available. You can either download a bulk of survey results or choose to download files relating to individual responses. Read our guide Download your results to learn how you can do it.
  • Require Contact is a feature that allows you to control who can access your survey and makes the questionnaire only accessible to contacts. If validation fails, the participant is not able to fill in the survey but a configurable message will be displayed instead.
  • Do not forget to monitor your results with Google Analytics. Google Analytics is a freemium web analytics service offered by Google that tracks and reports website traffic. Google Analytics is currently the most widely used web analytics service on the Internet.
